Office Policies

Our office polices are strictly based on transparency and focused on the wellness goals for each individual so each experiences an improved mental health state.

We are completely aware that different scenarios can occur which can lead to different alterations. In any case, if you want to cancel or reschedule your appointment, we request you to give us at least 2 business days’ notice of appointment. When we schedule the appointment specifically for you then we do not entertain other patients during that time slot as we make sure to provide you the quality mental care that you deserve so we humbly request you to inform us earlier. For appointments that are not canceled or scheduled again within the notice period, you will have to take financial responsibility. Those patients who do not attend their scheduled appointments or cancel them within 2 business days will have to pay a late cancellation fee or no-show/missed appointment fee. The Missed Appointment Fee i for Medication Management/Psychiatric Services are $350 for Initial Psychiatric Evaluations and $200 for Psychiatric Follow-up Visits.

If you are late for the appointment, then it will end at the fixed time. We will never facilitate you on your late arrival. So other patients can avail of our service without any delay. So, make sure to attend the appointments on time. However, if you come late then sometimes, we can accommodate you but it depends on certain factors as it is not guaranteed. Otherwise, your visit will be considered as a no-show. 

If you are in any emergency and need any urgent consultation with mental health experts then we can accommodate you. However, you need to regularly check the cancellations. But remember that if you have missed any appointment then we cannot guarantee you that we will arrange an immediate appointment for you. But for your concerns, we can recommend you take the emergency services by moving to the ER that is near to you. Moreover, you can also call 9-1-1 on an immediate basis. 
According to the policies of some insurance companies, a referral is required for each visit. We suggest you contact your insurance company or primary care physician to make sure that you can obtain a referral based on the requirements. However, if you are unable to get a referral(if it is required), the insurance company can deny your claim, and you will have to cover the provided services. 
If you are facing any difficulty in filling out a form or providing the details, then we request you to inform us regarding this matter so we can discuss your all queries. However, if there is not any issue then you should complete all the initial steps before the appointment so we can discuss better and focus more on your mental health. Filling out the forms, writing letters or notes, recording the feedback, and interacting with outside agencies require ample time, so it will charge fees for each specific service. This will not include the activities that are instructed by the provider to consider such as providing refills, clinically focused return of patient phone calls, and filling out routine authorization requests. 
You can have the medication refills at the time of your visit but if you want to get faciliate better then don’t forget to bring the medication list with you. For all refills, you have to provide the notice 72 hours before your visit. For long-term or chronic medication refills, we recommend you the office visits while in other cases, you can contact the pharmacy. For medication refills, the pharmacy will fax a request to our office and provide all information. In that case, you can notify us of your visits so we prevent medication shortages. You can also mail the forms and prescriptions if you have a mail-in series. Whenever you think that you are at the edge of a medication shortage then you need to inform us during business hours. So your non-controlled medications will get refill during the follow-up appointments. Controlled lost/stolen prescriptions may require a police report and will only be refilled if clinically safe. Refills do not guarantee medication coverage, please speak to your pharmacy regarding coverage
We are also concerned with protecting the patient’s confidentiality. We strictly follow the HIPAA regulations so we do not use the files to keep the medical records of our patients. Advanced Health Preference Group does not release patients’ confidential information to any other patient or outside person. However, if there is a special request then copies of medical information can be received which comprise the information on disability, personal use as well as the continuity of care -there is a professional fee for the creation of all medical records. However, this requires the approval from administration as well as the provider and patients. Please note, unless it is mentioned otherwise, exposure to mental health experts is specifically for planning the treatment strategy, management of symptoms as well as assessment. However, it is not expected to find out the eligibility for Social Security benefits, legal defense as well as competency.
